Lesson 4 – Managing Meetings
Meeting requests are automatically added to your schedule as a tentative appointment when Outlook updates your Calendar or after you read the meeting request. If you accept the meeting, the meeting time changes to busy. If you decline the meeting, the meeting is removed from your schedule.
Responding to a meeting request
NOTE Meeting responses are delivered to the meeting planner’s Inbox and are also tracked on the Tracking page in the original meeting request. Something important to note is that by default, when someone responds to a Meeting Request, the original invite is deleted from their Inbox. To change this setting, click the File tab, select Options. In the Mail pane, in the Send Messages section, Uncheck the option to ‘ Delete meeting requests and notifications from Inbox after responding ’.
Procedures
1. Open the Inbox folder.
2. Select the meeting request message in the Reading pane .
3. Select the Accept button, the Tentative button, or the Decline
button as desired.
4. Select the Send the response now option.
5. Select the
button.
