The Quick Steps feature in Outlook 2016 allows you to assign multiple actions to an email message. Quick Steps can be accessed on the Home Tab in the Quick Steps group. Each Quick Step button has a process defined to automate your email. There are some default Quick Steps which you can use, or you can create a custom Quick Step. Quick Steps are designed to save time on repetitive actions.

The default Quick Steps are: Move to , To Manager, Team Email, Reply and Delete and Done and Create New . Default Quick Steps can be set it up once and then used over and over.

First Time Setup dialog box

When you click Options in the First Time Setup dialog box you will see the Edit Quick Step dialog box.

If you want you can modify the Quick Step name use the default name. Enter the manager’s name in the To field. You can type the contact name or click the address button to select names from your contacts or global address list. You can include the names of multiple managers, if desired.

When you click Options , the Add Action button appears. Clicking this button activates a drop down list with a variety of available actions. There are 5 levels of actions:

Filing Move or copy to a folder, Delete a Message.
