Lesson 3 – Adding and Configuring Libraries

DESCRIPTION

Make the Document library and its content visible in site searches. Default is Yes . Content items will not be visible to users who do not have the ability to view the content. Typically, you would accept the default to allow users to find the content in the library. You might, however, configure this setting to No if this is an archive library containing old versions of documents that you don't want appearing on search results lists. Select the button to instruct SharePoint to re-index the folder during the next scheduled crawl. Libraries are re-indexed periodically. If searches are not finding all documents or items they should, or a large number of documents or items have been added recently, re- indexing might be a good choice. Re-indexing can have a performance impact on the server, so you should consult with server administrators before doing this. Select if this library can be available to clients for offline use. Default is Yes . Selecting No prevents offline synchronization to OneDrive and Outlook, but does not prevent users from downloading and saving local copies of specific documents, or exporting list information so this is not a way to secure sensitive documents. Consider configuring this setting to No if the library or list is very large, or the files or documents stored in the library are very large (such as CAD drawings or graphic files) and may cause issues with client storage availability. Select Yes to make this library a Site Assets library (Site Assets Libraries are covered in greater detail in a later topic). Allow quick edit entry in Lists through list forms. Default is Yes . This allows you to quickly access and change information on some list form views such as Datasheet view where you can click in cells, and make quick updates or additions to item entries. Configure how the New , Edit , and Display forms will appear. Selecting Yes makes these actions open a dialog box. Selecting No makes these actions open a full new page. The default is No , meaning, for example, that selecting the New option would open Word in full screen using the default template specified for the Document library.

Because the SharePoint site used for the course is integrated with Office Web Apps, the Office Web Apps interface overrides this setting and selecting New opens the Office Web Apps document selection dialog box. Selecting Edit opens documents in a new page.
