ACTIVITY: C ONFIGURING V ERSIONING AND C ONTENT A PPROVAL S ETTINGS
Before You Begin You should be logged into your Human Resources site. Scenario
Your team needs to have updates to policies approved by management before they get published and need to be able to track versions. In this activity, you will configure Versioning settings for the Policies and Procedures document library on your site. 1) Configure Versioning settings. a) In the Quick Launch, click Policies and Procedures . b) Click the Library tab and click the Library Settings button. c) Under General Settings , click Versioning Settings . d) Under Content Approval , select Yes . e) Under Document Versioning History , ensure Create major versions is selected. f) Under Keep the following number of major versions , type 10 . g) Under Draft Item Security , ensure Only users who can approve items (and the author of the item) is selected. h) Under Require Check Out , select Yes . i) Click OK . 2) Edit a document in the Policies and Procedures library. a) In the Quick Launch, click Policies and Procedures . b) Right-click the Open Menu (…) next to the Vacation Policy document and select Open in Word . c) Observe the Check Out Required message. d) Click the Check Out button. e) In the last numbered item, change the text “four weeks, or 160 hours” to five weeks, or 200 hours . f) Save and close the document. g) When asked Do you want to check in now? , select Yes . h) In the Version Comment, type Updated vacation hours for ten years of service. i) Click OK . j) Observe the Pending Approval Status . 3) Approve Pending documents. a) Right-click the Open Menu (…) next to the Vacation Policy document, select Advanced and click Approve/Reject . a) Under Approval Status, select Approved . b) Under Comment, type These changes are approved . c) Click OK . d) Observe the Approved Approval Status .
